Wedding Ceremonies… 

Our wedding lawn at Heritage Highlands offers unparalleled views of the Tucson valley and the Catalina, Tucson and Santa Rita Mountain ranges. In addition our Heritage Ballroom provides an elegant indoor setting for wedding ceremonies.

The Patio on the Green adjoins the wedding lawn and is under roof, complete with misters and infrared heaters for year-around use. The Patio on The Green is perfect for you and your guests to enjoy Hors d’ oeuvres and cocktails.

Our Heritage Ballroom can accommodate up to 250 guests for dinner. The Ballroom features a built-in dance floor with a raised stage. It also features a built- in custom audio and visual system, as well as custom lighting.

HERITAGE HIGHLANDS CATERING INFORMATION AND POLICY

 

FOOD AND BEVERAGE

Current prices are indicated on the enclosed banquet menu offerings. A tasting is included at no additional charge. All food and beverage (except wedding cake) must be provided by Heritage Highlands at Dove Mountain. Our experience staff will be happy to cut and serve your wedding cake at no additional cost.

All food and beverage prices are guaranteed 90 days from the date of the function. Prices are subject to change. No food or beverage may be taken in or out of the facility by any guest.

Our Catering team will be happy to create and design menus at your request with our culinary team to meet specific needs which may not be addressed in the menu selections presented.

 

MENUS

Heritage Highlands requires your menu selection and specific requests be finalized thirty (30) days prior to your event/function. Once completed, you will receive a banquet event order for your signature approval. You may make additions, cancellations and/or changes in advanced.

 

BEVERAGE SERVICES

The sale, service and consumption of alcoholic beverages are regulated by the State Alcoholic Beverage Commission.  Heritage Highlands, as an alcoholic beverage licensee, is subject to regulations promulgated by the State Alcoholic Beverage Commission, violations of which may jeopardize Heritage Highlands’s license.  Therefore, no alcoholic beverages may be brought into Heritage Highlands.

Heritage Highlands cannot and will not serve alcoholic beverages to anyone under the age of 21 or anyone who does not have proper I.D.

Heritage Highlands is committed to a policy of providing legal, proper and responsible hospitality.  We require that all beverages be dispensed only by resort staff. Alcohol will not be served to guests who appear intoxicated, under the age of 21 or are unable to produce acceptable identification.

 

GUARANTEES

Heritage Highlands requires notifying our Catering Department of the exact number of banquet or reception guests fourteen (14) days prior to the start of the event-function. This confirmed number constitutes a guaranteed minimum-not subject to reduction. If fewer than the final guaranteed number of guests attend the function, the final guaranteed number will be charged. If no guarantee is given, the expected number of guests will be considered your guarantee.  Our culinary team is prepared for a 3% overage on the number guaranteed.  Heritage Highlands will not be responsible for identical service to more than 3% over guarantee. If additional meals are added after guarantee is given (i.e. substitutions, replacements, and special orders) these meals will be considered an addition to it.

 

FUNCTION SPACE

Heritage Highlands reserves the right to alter event function space with notification based upon the increases or decreases in number of expected guests.  All outdoor functions must be buffet.  It is the guest’s responsibility to acquire all necessary licenses and permits required by the state of Arizona and the city of Marana.  If minimum revenue guidelines are not met in food and beverage, the remaining balance will be billed as meeting room rental.  Our community policy states all banquet events will conclude no later than midnight.

 

SERVICE TIME

The schedule of service will be followed according to the Banquet Event Order. Additional overtime charges will be applied after a (5) hour period per function of $50 per half hour and $100 per hour.

 

SMOKING

Smoking is permitted in designated areas only.

 

DECORATIONS / ENTERTAINMENT

Our Catering Team will be happy to assist you with referrals for your floral and decorating needs. Ask for information.  When you select your own décor company, approval must be obtained from your Catering Manager prior to affixing anything to walls, floors, and/or ceilings.  Set up and break down must also be coordinated through your Catering Manager. Heritage Highlands assumes no responsibility from the outside vendors. Additionally, all items not provided by or through Heritage Highlands must be removed at the conclusion of the event.

 

 

SEATING ARRANGEMENTS/EQUIPMENT

Seating will be at round tables that seat ten (10) people each, unless otherwise requested. Requests for seating of eight (8) or less at round tables is available, but must be specified on your order.  Heritage Highlands will provide a reasonable amount of meeting equipment (chairs, tables, dance floor, risers) based on the program outlined.  This arrangement does not include special set-up or extraordinary formats that would exhaust our present inventory to the point of requiring rental of additional supply to accommodate your needs. 

 

SECURITY

Security Officers may be arranged, if needed, through your Catering Manager.  One security officer per 100 guests must be hired for high school or college student events in addition to any chaperones.  It is at the discretion of the Catering Manager as to whether security personnel are needed at your event. One (1) security officer per every 200 guests, at the host’s expense of $100.

 

LIABILITY

Heritage Highlands does not assume responsibility for personal property and/or equipment brought onto its premises. All non-member groups are liable for any damages to the premise, the furniture or other contents due to negligence or willful misconduct of occupant or his agent. All non-member groups are liable for any injury to any individual due to negligence of willful misconduct of occupant or his agent.  Heritage Highlands liability, property and any other insurance maintained by Heritage Highlands does not include coverage of any nature whatsoever in favor of non-member groups and community service organizations.

 

DEPOSITS AND PAYMENT POLICY

A non-refundable deposit of $500 which is applied to your food and beverage total, is required to reserve your event date.

Heritage Highlands at Dove Mountain requires an active credit card to be on file for all non – member functions, due to Heritage Highlands when the signed contract is returned. A payment of 30% is due when the minimum number of guest is given 14 days prior to the event. The remaining balance is due 3 days before your event. All additional charges are due at the conclusion of the event. This is typically incurred as additional incidental charges during the event.  If refunds are in order, they will be promptly processed accordingly.
For functions where the total estimate is less than $1,000, a single, full payment will be due a minimum of 5 business days prior to the event, which is the guarantee day. The credit card on file may be charged.

The terms set forth in the BEO (Banquet Event Order) constitute a binding contract for services.

 

SERVICE CHARGES and TAXES

In addition to the prices presented, Heritage Highlands will add the customary 20% service charge and 9.1% state and local taxes on all menus and pricing.


CANCELLATIONS

A cancellation, made within a period of time less than one month, will be subject to the room rental charge.  Cancellations due to weather conditions will be charged in accordance with rebooking the event. If cancelled 72 hours prior to event Heritage Highlands will apply a 25% of estimated event fee.  If cancelled 24-72 hours prior to event Heritage Highlands will apply a 50% of estimated event fee.  If cancelled less than 24 hours prior to event Heritage Highlands will apply a 75% of estimated event fee.
